FAQs for Indico registrations
Background
This document serves as guidance for most asked questions from stakeholders registering to attend UN-related events. It was prepared to facilitate a smooth process for your Indico registration to UN DESA events and conferences.
Holders of UN Grounds Passes Valid for UNHQ in New York - DO NOT APPLY for New York based events unless it is specifically indicated on the event website. For all meetings outside NYC, please read the procedure on the specific event page.
IMPORTANT! If your application is incomplete or need correction, you will receive an email from the Secretariat indicating the necessary corrections to the form or if your letter of representation does not meet the requirements. Please keep an eye out for such emails, including on your spam folder.
How to fill the INDICO Form:
Organization type:
Choose from drop-down list. If you cannot find matching type then choose ‘Other’
Organization name:
Needs to match the organization you represent and the letter of representation.
Last name, First name:
Needs to match the passport/national ID
Your name will be printed on your Special Event Ticket (SET)/Conference Pass and you will not be able to retrieve it if your name does not match your passport
No nickname, no initials and no titles such as Dr. or MD.
Use English characters only, do not use accents from other alphabets
Lived name:
Leave empty unless you have a lived name. No nickname. Specific instructions will be sent to those who indicate to have a lived name.
Passport:
You can register with your passport information but will be able to pick your SET/Conference badge with original national ID (no photocopies or virtual documents will be accepted).
If your passport is expired at the time of registration, you can still register to the event with the information. You can only pick-up with a valid government ID.
Photo:
Profile photo must be with white or light, solid colored background. No full body. No sunglasses, no hats. You are, however, permitted to smile.
Organization you represent:
Needs to match organization name (at top of the form) and the letter of representation.
Letter of representation:
Your registration might be rejected if a proper letter is not provided.
Example for the correct letter of representation:
The letter should nominate you or a group of participants by full names to participate in the specific Conference/Forum/Meeting. The letter should be signed by CEO, CFO or Director level.

FOR MEMBER STATES: Letter nominating you and signed by authorizing officials of your Ministry.
FOR UN SYSTEM: Letter nominating you and signed by your Division’s Head to participate in the Conference. No laisser passez.
FOR ACADEMIA: Letter nominating you and signed by Department’s head or similar authorizing official. No signature of Dean required.
Assistance Required:
For wheelchair or other accessibility concerns only. Leave empty otherwise. Do not include requests for visa assistance or travel support as those are the participant’s responsibility.
Under 18 years of age:
Please read the instruction in the Indico form carefully.
Registration will be rejected if the chaperone is not from the same organization or has not registered.
